Can I view the emails of other users in the CentrixOne CRM?

Principle

When a user synchronizes his email address with CentrixOne, he can view the email exchanges between his address and the one indicated in the contact or account file. These emails are visible in the Activities section of the card, in the Synchronized emails tab.

By default, the user can only see his email exchanges. However, it is possible to configure a permission to also display the email exchanges of other users of the CentrixOne account. For this to work, each affected user must have successfully synchronized their email address in their CentrixOne user account.

This feature is handy for checking who the customer or prospect has recently talked to and what they talked about.

Visibility levels

  • Level 0: the user can only see their own emails.
  • Level 1: the user can see their own emails and those of the users below them in the hierarchy (their employees).
  • Level 2: the user can see their own emails, those of the users below them in the hierarchy, and those of the users at their own level in the hierarchy (their employees and their peers, but not their peers’ employees).
  • Level 3: the user can see their own emails, those of the users below them in the hierarchy, those of the users at their own level in the hierarchy, and those of their peers’ employees (their employees, their peers, and their peers’ employees).
  • Level 4: the user can see emails from all other users of their CentrixOne account.

However, you have to be careful with this type of configuration. If you ask CentrixOne to display the e-mail exchanges of all the users of your account and this gives hundreds of exchanges with a single contact or even thousands of exchanges visible via the account card (which groups the exchanges of the account and all its contacts), the system may not be able to process your request, as it would require too many resources in the CentrixOne servers. It is therefore necessary to think about this not insignificant detail.
